How to check data in HEIMS Online – Why check your data?

The validations processes in HEPCAT and HEIMS can only confirm that you have used correct and consistent coding. It is up to you to check that the data is actually correct. Reporting errors are frequently picked up while you check your data.

Checking your data regularly will;

  • highlight any inconsistencies or mistakes in your reporting, identify issues with your student systems or over-reporting of no information codes.
  • assist with reconciliation of your provider payments
  • ensure official publications accurately reflect your courses and students
 

When to check your data?

You can check your data at any time. However, it is recommended that you check your data the day after you have received notification that your submission is accepted in HEIMS. This will give you time to revise your data if you find errors.

How to check your data

Reports available in Opens in a new window: HEIMS Online enables you to review your data reported to the department. A good starting point to checking your data are the HEIMS Online Data View reports. These reports compare data from the previous year and highlights variations that you may need to investigate. To access HEIMS Online you use your HEPCAT User ID and password.
