HE Student Enrolment Summary Report

How to read this report

Unique student record

The concept of Major course is utilised in these reports where a student is enrolled in more than one course. The Major course is identified in order to select a unique set of characteristics for each student and is defined as the course with the greatest Equivalent Full‑Time Student Load (EFTSL).

If there is more than one course with the same EFTSL, the selected course is based on alpha/numeric sorting (ascending) of the Course code (E307).

Students enrolled in cross institutional studies:

  • Course of study type code (E310) is:
    • 41 Cross Institution – Undergraduate, or
    • 42 Cross Institution – Postgraduate.

are excluded from this report.

Note - A student's Type of attendance code (E330) is calculated prior to the above rules being applied.

Field Coding notes
Gender Gender is determined on the basis of the first value reported on Gender code (E315). For example, if a student is first reported as Male and then in a subsequent submission is reported as Female, the original classification of Male is maintained. If the original value has been revised, the revised value is used.
Citizenship Value reported in Citizen/resident indicator (E358):
 
  • If multiple values exist, the one with the most recent census date is used.
  • If there are multiple records with the same census dates, the one with the lowest value is used.
Indigenous Status

Value reported for Aboriginal and Torres Strait Islander code (E316):

  • 2 (non indigenous),
  • 3 (Aboriginal origin but not Torres Strait Islander),
  • 4 (Torres Strait Islander origin but not Aboriginal),
  • 5 (Both Aboriginal and Torres Strait Islander origin) or
  • 9 (No Information)
Subsequent reported E316 values for a student have the following updating rules:

If the original reported value is 9 (no information) the record will be updated with any new value (2, 3, 4 or 5).
 
  • If the original reported value is 2 (non indigenous) the record will only be updated with the new value if it is 3, 4 or 5 (indigenous).
  • If the original reported value was 3, 4 or 5 (indigenous) HEIMS will only update the record if a new indigenous value is reported:
    • 3 will be updated to 4 or 5
    • 4 will be updated to 3 or 5
    • 5 will be updated to 3 or 4
  • A value of 3, 4 or 5 will not be updated if the new reported value is 2 or 9.
Level of Course Value reported on Course of study type code (E310) for the selected reporting period year.
Tertiary Entrance Score The Tertiary Entrance Score report is applicable for commencing students only. It is calculated in the following way:
 
  • Domestic Student
    • Citizen/resident indicator (E358) is:
      • 1 Australian citizen,
      • 2 New Zealand citizen
      • 3 Permanent visa other than Permanent humanitarian visa, or
      • 8 Permanent humanitarian visa
  • Undergraduate
    • Course of study type code (E310) is:
      • 08 Bachelors Graduate Entry,
      • 09 Bachelors Honours,
      • 10 Bachelors Pass,
      • 13 Associate degree,
      • 20 Advanced Diploma,
      • 21 Diploma, or
      • 22 Other undergraduate award
  • Student who has been admitted via a secondary qualification
    • New basis for admission to current course (E327) is:
      • 33 Secondary Education
    Note: For a commencing student, the first four digits of Course of study commencement date (E534) = reporting year.
Special Course Type Value reported on Special course type code (E312)
Mode of Attendance The Mode of attendance code (E329) value is derived at the course level based on the individual values reported for each Unit of study code (E354). If there is only one Mode of attendance code (E329 for a student over the period the reported value is used, otherwise the value is set to "multi‑modal".
Broad Field of Education First two digits of Field of education code (E461) and first two digits of Field of education supplementary code (E462) (if applicable).

This table identifies the number of students studying within a specific broad field of education (BFOE).

The data allows for the coding of combined courses to two fields of education, and as a result summing the data across all BFOE may return a total that is higher than the total number of students.

Where students have both a primary and secondary field of education:
  • the student is only counted once if the primary (E461) and secondary (E462) FOE are the same at the broad level.
  • the student is counted once in the primary (E461) and once in the secondary (E462) if the primary and secondary FOE differ at the broad level.
Type of Attendance Type of attendance identifies whether a student is studying full‑time or part‑time:

1. HDR Students

If the student is only a Higher Degree Research student:
 
  • Course of study type code (E310) is
    • 2 Doctorate by research or
    • 3 Masters by research
the reported value for Type of attendance code (E330) is recorded.

For full year, If the values for both reporting periods are not consistent, E330 is determined by the record for the later period.

If (E330) = 0 (Non‑higher degree research) or no value is reported, type of attendance is recorded as part time.

2. Non‑HDR Students

If the student is enrolled in any course that is not a Higher Degree Research course:
 
  • Course of study type code (E310) is not equal to
    • 2 Doctorate by research or
    • 3 Masters by research
the load for all non HDR courses are used in the following calculation:

Half year report calculation
 
  • If total load (EFTSL) for the first half year > 0.3749 then Type of Attendance = Full‑time
  • If total load (EFTSL) for the first half year ≤ 0.3749 then Type of Attendance = Part‑time
Full year report calculation

If the student only consumes load in one half year period then
  • If total load (EFTSL) > 0.3749 then Type of Attendance = Full‑time
  • If total load (EFTSL) ≤ 0.3749 then Type of Attendance = Part‑time
If the student consumes load in both half year periods then
  • If total load (EFTSL) > 0.749 then Type of Attendance = Full‑time
  • If total load (EFTSL) ≤ 0.749 then Type of Attendance = Part‑time
3. VET Students

The reported value for Type of attendance code (E330) is used.
  • If E330 = 1 - The student is counted as full‑time
  • If E330 = 2 - The student is counted as part‑time
Disability Value reported on the first character of Disability (E386):
 
  • If different values are reported for both reporting periods in a year, the code indicating a disability is used.
