HEIMS Outage - Wednesday from 3PM to 5PM AEDT

May 11

There will be a HEIMS outage from 3pm to 5pm on Wednesday 13 May.

During this time the following system applications will be unavailable:

  • Reporting through HEPCAT;
  • Allocating CHESSNs and retrieving student entitlement details in HEIMS Administration and HEIMS Web Services; and
  • Checking or verifying your reported data in HEIMS Online.

There will be no impact to TFN verification in the Government eCAF.


TCSI Support email update

May 8

As we further integrate our support capability across the Department of Education, Skills and Employment and Services Australia, there will be a change of address for the TCSI Support Mailbox.

This change will take effect from COB today (8 May 2020), and we will continue to service the sector for all TCSI related enquiries as usual through our new email address at tcsisupport [at] dese.gov.au.

We will continue to follow-up on and respond to any currently open enquiries, and will also monitor the existing mailbox for the next two weeks to re-direct any emails.

Thank you for your patience and support through this change.

Extension to the TCSI transition period

HEIMS connection to the ATO is offline

The Australian Tax Office is making a number of changes to its IT system from 3.30pm Friday 17 January.  As a consequence, data will not be transmitted from the Department of Education to the ATO until 9.00am next Monday 20 January.  This means a delay for TFN Verification and the transfer of student loan data to the ATO.


TCSI system updates

Updates to the TCSI system have been scheduled for the afternoon of Friday, 17 January 2020. Providers may experience outages over the weekend if using TCSI Data Entry or TCSI APIs.

Non-TCSI systems, including HEPCAT, HEIMS Online, HEIMS Admin, myHELPbalance, and eCAF will not be affected.

ATO System Outage - Christmas Shutdown

The MQ services that transfer TFN data will be unavailable from 11.00 AM Monday, 23 December to 10.00 AM on Thursday, 2 January 2020.

Please avoid submitting TFNLookup files on 23 December as it will clog the queues.


Potential system outage 12 November 2019

Please note there may be a system outage on Tuesday 12 November and, as a result, the following systems will be unavailable between 11:00AM and 12:00PM AEDT:

  • Higher Education Provider Client Assistance Tool (HEPCAT). You can still prepare and validate submissions within HEPCAT but will be unable to submit to the department.
  • HEIMS Administration to allocate Commonwealth Higher Education Student Support Numbers (CHESSNs) and view student entitlements
  • HEIMS Online portal including reports, Call Centre and student entitlement information checking etc.
  • HEIMS WebServices – CHESSN allocation, entitlement searches etc.
  • MyUniAssist

The eCAF system & HITS will not be affected.

HEIMS Test environment

HEIMS Test environment is currently being upgraded to new servers and is unavailable until mid next week.

Update 26 November: the HEIMS Test environment will be unavailable until the end of this week.

The Tertiary Collection of Student Information (TCSI) team is presenting the 2019 TCSI Roadshow in November. Use the links below to register for the TCSI roadshow at the location most convenient to you:

  • Melbourne: 18 November (10am – 2pm) (maximum 3 per organisation)
  • Canberra: 19 November (10am – 2pm)
  • Brisbane: 20 November (10am – 2pm)
  • Sydney: 21 November (10am – 2pm) (maximum 3 per organisation)
  • Adelaide: 26 November (10am – 2pm)
  • Perth: 27 November (9am – 1pm)

All event times are presented for the local time zone.


Changes to the Education Portal

Following the implementation of the HEIMS server upgrades on 12 November, HEIMS Online and HEIMS Administration will be accessible directly from the URLs below and will no longer be accessible from Education Portal.

The Higher Education Datamart will remain available via the Education Portal.
