The OS‑HELP Revisions submission enables providers to revise data that has previously been reported to the department in an OS‑HELP submission.
The submission reports details of deletions or changes due to administrative error.
New OS‑HELP records or records omitted from a previous OS‑HELP submission should be reported through a new OS‑HELP submission.
OS‑HELP revisions may be reported at any time. Multiple submissions may be reported throughout the year.
Timing of submissions is detailed in the reporting schedule for the relevant reporting year.
The OS‑HELP Revisions (OR) file is one of two files incorporated in the OS‑HELP Revisions submission. The other file is the:
The OR file includes the key elements needed to identify OS‑HELP record(s) requiring revision or deletion.
When reporting an OS‑HELP Revisions submission it is recommended that you read the RO scope guidelines in conjunction with these scope guidelines.
Submissions are made using the Higher Education Provider Client Assistance Tool (HEPCAT). More information about this process is in the HEPCAT User Guide Part 2.
Information about the structure and the elements in the OR file is in the structure guidelines for the relevant reporting year.
Each record in the OR file must have a unique combination of values for:
- Student identification code (element 313)
- Commonwealth Higher Education Student Support Number (CHESSN) (element 488)
- Course code (element 307)
- OS‑HELP study period commencement date (element 521).
These elements are the key identifiers for a student's OS‑HELP record. A record to be revised or deleted will be matched on these elements.
When deleting a record, the record only needs to be reported on the OR file. No corresponding record is required on the RO file.
