The Training page provides you with the details of the training resources that are available to help you meet your reporting and verification deadlines. Our training sessions are organised into four broad categories:

  • Training for new providers
    • These sessions provide you with all the information you need to prepare for your first reporting.
  • How to submit data
    • These sessions focus on what you need to do to validate and submit your data. This includes using the submission tool HEPCAT.
  • How to manage your data
    • These sessions explain how to check your data in HEIMS and revise any incorrect data. It also explains how to verify your data to ensure your funding and department publications are correct.
  • Special interest topics
    • These sessions focus on new reporting requirements, new system functions and areas of special interest to providers.

Our training sessions aim to cater for everyone, from those who are new to reporting to experienced reporting officers. We also offer customised or one‑on‑one training sessions via webinar or face‑to‑face at our Canberra office. These sessions are tailored for your needs at a time that suits you.

Webinar presentations

Webinars are interactive online presentations that explain key information and processes required for reporting. They are generally presented in modules up to one hour in length and allow participants to submit questions and comments in real time. Webinars offer great value for money as they provide essential information to assist you with reporting and require no travel, just an hour of your time. And if you miss out you can view our webinar presentations at any time that's convenient for you.

Customised training sessions

Our scheduled training sessions, recorded webinars and training videos should meet most of your training needs. But you can request an individual or customised training session at a time that suits you. These sessions provide you with an opportunity to work with our team to focus on specific challenges you are facing with reporting. You decide how this training will be delivered; either face to face with our staff in the Canberra office or via a webinar - whatever works best for you.

Reporting data and meeting your requirements under legislation can be quite complex for new providers. The key to successful and stress‑free reporting is to understand what you need to report and be well prepared before the submission date.

Our package of four essential training sessions is aimed at making reporting as easy as possible for you. These sessions will give you a greater understanding of the submission processes and what you need to do to report quality data to the department.

This webinar provides you with critical information on how to successfully report your data. It steps you through the submission processes in HEPCAT to create, validate and submit your Course (or VET Course) and Student (or VET Student) submissions.

Validating your data

This webinar helps you understand the validation processes in HEPCAT and HEIMS and how to work through the validation errors you encounter when submitting your data. It explains how to interpret error messages and submission reports and provides you with strategies to help minimise errors.

Once your data has been reported there are still some essential processes you must complete to meet all your legislative requirements. This includes revising any incorrect information you have reported and verifying your data twice a year.

Commencement Date Revision Submission

The Commencement Date Revision submission gives you the ability to revise a student's course of study commencement date.

This webinar provides an overview of the revision processes required to correct errors in your data. It explains the basic revision principles, including key elements and variation codes, and where you can find the information you need to revise every submission.

Simplifying Verification

This webinar takes the mystery out of the verification process, explaining what data you need to check, why verification is different to validation and how you sign off your reports.

Monitoring students' use of HELP

The Australian Government limits the amount of assistance a student can access under the various Higher Education Loan Programs (or HELP) programs. To manage these limits, the department monitors students' use of their entitlements through the HELP entitlement calculations. This webinar explains the recent improvements to how student entitlements are calculated and what information is available to you as providers and your students.

Student Concordance Submission

The Student Concordance Submission will give you the ability to automatically link all the data reported for the student to the new ID without compromising the integrity of your data.

OS‑HELP for Asian studies

This webinar explained the changes to the OS‑HELP loan scheme from both an administration and reporting perspective following the introduction of the new Asian study loans from 2014.

Program Funding System (PFS)
