Remember to back up your database! The department cannot restore or replace your database if it is lost.

Tax File Number Revision (TR) submission

Apr 3

The department is working with the ATO to support nightly transfer of student HELP data from July 2017. This new capability will apply to all data reported with 2017 census dates.

The new process requires each TFN to be verified as belonging to a student before their associated HELP debt can be transferred to the ATO. Currently only encrypted TFNs can be reported to the ATO.

VET Student Loans Secretary's Notice

The VET Student Loans reporting requirements are available on the VET Data Collections - 2017 Reporting Requirements page.

The VET Student Loans legislative package passed through both houses of parliament on 1 December and received Royal Assent on 7 December. The three acts are available for download from our Useful links page.

2016 VET student data

All 2016 VET student data is due to be reported by 13 January 2017.

This includes all records not yet reported for:

  • units of study with a census date in 2016; and
  • a completion status for every unit of study, with updates to units reported with a status of "in progress"
  • courses completed in 2016

All outstanding revisions must also be reported by this date.

You will still be able to process and validate your data in HEPCAT but unable to submit to HEIMS until the following day. These applications will be available again on Thursday.

The only significant change is the new reporting schedule which can be accessed on the alongside the data requirements and change control document.

HEPCAT release 23

Nov 24

A new version of HEPCAT has now been released. Changes have been made to support the changes to the Commonwealth Scholarships Guidelines (Research) 2017 along with the removal of the HECS‑HELP discount.

Full details of all changes are available in the Release Notes.

Please follow the Updating HEPCAT installation instructions to install this version of HEPCAT. Please note there is NO requirement to remove the prerequisites to complete this HEPCAT update.

HEPCAT release 22.0.0.0019

A new version of HEPCAT has now been released. This version incorporates the new higher education Provider Information Request (PIR) collection. There are also some minor updates to correct recently identified issues.

New ASCED - ANZSRC concordance table

Through the Higher Education Data Committee and in response to the Opens in a new window: Review of Reporting Requirements for Universities the department has worked with the ABS to provide a concordance table to ease the reporting burden of higher education institutions.

The concordance between Australian Standard Classification of Education (ASCED) and Australian and New Zealand Standard Research Classification (ANZSRC) is now available on our Appendices, codes and tables page.

Are you looking to access bulk downloads of your enrolment and load data?

Opens in a new window: HEIMS Online has a new feature that will enable you to access your data in CSV format directly from the Data Request tab. You can request data for a single year or for as many as 5 years at a time.

HEIMS downtime Tuesday

All HEIMS systems will be unavailable on Tuesday 15 December as the new HEIMS release is migrated to production. A new version of HEPCAT will be available on Wednesday. See the eNews article for more information about this release.

While you will be able to process data in HEPCAT on Tuesday, you will be unable to submit to the department until the completion of the release.


2016 Data Requirements for higher education providers

A Ministerial Notice was issued under the Opens in a new window: Higher Education Support Act 2003 (HESA) on Monday 16 November.

There are no system changes to the reporting requirements for 2016. This follows the Minister's recent announcement that the Australian Government will be consulting further with the sector on the higher education reforms, as we work collaboratively to build a sustainable world class education system.

There are some minor administrative modifications to reporting documentation. These include the removal of references to MyUniversity in the collection following the decommissioning of this website. Details of all changes are included in the 2016 Higher Education Data Collections data requirements and change control document.


Reporting to the ATO

Now that the October 31 submissions are finalised the HELP entitlement calculations and the transfer of HELP data to the ATO commences this week. Make sure there is no disadvantage to your students because of late data submisisons.

An updated version of HEPCAT 15 was released on Wednesday 14 April 2014. This update extends the reporting of Certificate IV for eligible VET students to subsidising states and territories.

Don't forget to back up your database before the new installation. If you need help with backing up your database please see Part three of the HEPCAT user guide.

As part of continually trying to make the information on HEIMSHELP as user friendly as possible, we have added a new calendar to help you with your reporting deadlines.
Selecting which provider type you are will return the information you need. Printer friendly versions are also available.

The reporting requirements pages for each of the four collections, always available via the menu across the top of HEIMSHELP, have been restructured with a new user friendly format. This helps breakdown the why, what, when and how of data reporting with links to file scope and structure guidelines and relevant toolkits.

Update to the latest HEPCAT release

An updated version of HEPCAT 15 has been released to production today. This update resolves a technical issue with validation 7399.

If you have not yet installed HEPCAT 15 and the new HEPCAT prerequisites released on Thursday 16 January please follow these detailed installation instructions.

If you have already installed HEPCAT 15 and the HEPCAT Prerequisites please follow these instructions to install this update.

New HEPCAT Release - system downtime

The new version of HEPCAT will be released on Friday January 17 2014.
For this release you will need to download and install new prerequisites.

All HEIMS applications, including HEPCAT, HEIMS and HEIMS Administration will be unavailable on 16 January while the release is migrated to production. All systems will be back in action the next day, 17 January.

Don't forget to back up your database before the new installation. If you need help with backing up your database please see Part three of the HEPCAT user guide.
